I’ve gotten some variation of these questions multiple times in the last week or so, so here’s a handy round-up:
- I missed some training. How do I get in the loop?
- Are our Banner fund numbers (or org code, or account code) staying the same?
- No, Rice has embarked on a once-in-a-generation comprehensive re-design of the chart of accounts to better suit the current needs of the university.
- How will I know the new codes and how the new chart of accounts works?
- I have questions about the crosswalk
- There’s a guide on using the crosswalk in a folder full of crosswalks in the FBDI folder https://rice.box.com/v/FBDI-folder-for-dropoff
- Please note, because this comes up a lot, the project information does not appear on the crosswalk, only where the PPM projects are summarized in the general ledger. The project coding (POETAF) wouldn’t fit on the crosswalk because it has a different number of segments. You must refer to the project lists in the FBDI folder, or navigate to the PPM module in iO, to see the project numbers. So you will not see the research grants or the faculty fund projects on the crosswalk anywhere.
- What if I need a new value, a new fund or account or activity?
- Please use the HR/Finance Help Desk in iO to enter a service request.
- Unlike prior years, requests will be reviewed by the governance committee prior to being established (or not) in the new system.
- Is the IDT (inter-department transfer, billing for goods and services) and EX (expense and revenue correction, cost transfer) the same?
- No, the new system uses new processes.
- Please do not email entries.
- How will I know the new process for IDTs and so forth?
- What about OLR’s (labor redistribution)?
- The new process is Labor Distribution. Job aids and videos at top of this page, more resources in the FBDI folder.
- What about budget transfers?
- The new process is AdobeSign managed by the Budget Office. This covers 100.000000 (A1) budget adjustments and fund balance transfers at the general ledger level.
- For faculty funds budget increases please use the template in the FBDI folder.
- Will I still be able to see my funds and transactions in Banner / Edgar Web Apps?
- Edgar Web Apps will be available read-only for reports and queries for some time in FY 2022. The exact end date has not yet been announced.
- Data will be available in a data warehouse when Edgar is no longer available.
- I have more questions, can I call you?
- I mean, you can, I like talking to you. But if you have IO questions please use the HR/Finance Help Desk service request in IO. Our managers are very focused on tracking transition issues, growing pains, and response times through that system and therefore resources will be focused on responding to the tickets first. The HR/Finance Help Desk will get the fastest response.
- If you feel like talking is going to be better, during July there’s an open Zoom meeting for “command center” to take questions and whoever is on duty will call in the appropriate people for whatever issue needs to be resolved.
